Everything you need to power your event with EVNTFUL.
This page contains everything you need to get started - what Evntful does, exactly what we do with your attendees' data, your four actions before the event, the required attendee blurb and our full organiser agreement. Please read it in full before replying to accept.
What we do
Evntful is an AI-powered networking web platform. Attendees discover events, click to attend, and receive personalised match
recommendations - other people at the same event they should meet — before they walk through the door. The result is a room full
of people who already know who they want to find.
We are a third-party technology platform only. We do not organise, host, manage or operate any events. Event organisers are
independently responsible for the safety, conduct, and legal compliance of their events.
What Evntful does for your attendees
— Attendees receive personalised match recommendations before the event
— They sign in via LinkedIn, see who else is attending, and receive tailored introductions
— They arrive already knowing who they want to meet — no awkward cold networking
— After the event they receive follow-up connection prompts so relationships continue
We want to be completely transparent
Here is precisely what happens with the attendee data you send us:
What we use it for
Solely to generate personalised match recommendations for your specific event. Nothing else.
Who sees it
Our small internal team processes the CSV. Matched attendees see each other's name and professional background only — never email addresses or direct contact details.
Who we never share it with
We do not sell it, share with third parties, use for advertising, or pass to any other organiser or business.
How long we keep it
CSV data is deleted within 30 days of your event unless an attendee has also independently.
AI training
We do not use attendee data to train external AI models.
Deletion requests
You can request deletion of all attendee data at any time by emailing info@evntful.co.uk. We confirm deletion within 7 days.
Your 4 Actions
Please complete all four before your event. Reply to our email confirming each is done, or confirm all four at once:
1.
Agree to our terms
- Reply to the welcome email with "I accept" to confirm you have read and agree to the Evntful Organiser Agreement in
Section 5 of this page. No further signature is needed for the trial. Please keep a copy of your acceptance email for your records.
2.
Add the Evntful blurb to all attendee communications
- The blurb below is the legal mechanism by which Evntful obtains attendee consent. Omitting it constitutes a material breach of the organiser agreement and exposes you to liability under UK GDPR.
"We've partnered with Evntful to personalise your experience. Sign in via LinkedIn [SIGN UP LINK] to see who's attending and
receive your tailored match recommendations before the event. By attending you agree to your information being shared with
Evntful and matched attendees for networking purposes. Terms and privacy policy at evntful.co.uk/terms."
Replace [SIGN UP LINK] with the unique Evntful sign-up URL provided by our team.
Add this blurb into every communication you send to attendees - invitation, confirmation email, all reminder emails and into your event page or booking platform description. This is a legal requirement. Please also CC info@evntful.co.uk where possible. Also add the link evntful.co.uk/terms-and-conditions to your booking platform event description.
3.
Send us your attendee list
- Send your attendees CSV to kriti@evntful.co.uk. A few days before the event, so we can prepare matches in time and on the day of the event, updated confirmed list CSV must include: first name, last name, email address, LinkedIn profile URL if available as this significantly improves matching quality.
4. Share feedback after the event - We will follow up the day after to hear how it went — what worked, what your attendees said, and how we can improve. This also feeds into a case study we can share together if you are happy for us to do so.
1. Definitions

2. EVNTFUL is a Third-Party Platform - No Liability
2.1 No Liability for Events
Evntful is a third-party technology platform only. We are not the organiser, host, insurer, operator, or co-host of your event in any way. Evntful accepts no liability whatsoever for anything that occurs at, before, or after your event, including personal injury, property damage, financial loss, or the conduct of your attendees, venue staff, or any third party. The Organiser is solely responsible for the safety, conduct, insurance, and legal compliance of their event. Evntful strongly recommends that all Organisers hold appropriate public liability insurance. The Organiser agrees to indemnify and hold harmless Evntful Ltd, its directors, employees, and agents against any and all claims, losses, fines, damages, or costs including legal fees arising from the Organiser's event, their non-compliance with this Agreement, or their failure to meet their data protection obligations. To the fullest extent permitted by law, Evntful accepts no financial liability to the Organiser.
3. What EVNTFUL Provides
3.1 The Service
Subject to this Agreement, Evntful will provide AI-assisted pre-matching of attendees and personalised match profiles distributed
before the event. Optional event styling and production services are quoted separately. During a free trial all terms apply in full. Evntful
may end a trial at any time with 7 days written notice.
3.2 What Evntful Does With Attendee Data
Attendee data is used solely to generate personalised match recommendations for the specific event it was provided for. Matched
attendees see each other's name and professional background only - never email addresses or direct contact details. CSV data is
deleted within 30 days of the event. The Organiser can request deletion at any time by emailing info@evntful.co.uk.
4. Organising Obligations - Attendee Communication
4.1 Required Blurb
The Organiser must include the required blurb - word for word in every communication sent to attendees including the event invitation, confirmation email, all reminder emails, and the event page or booking platform description. Failure to include it is a material breach of this Agreement and removes Evntful's legal basis for processing attendee data.
5. GDPR Compliance - Organisers Responsibility
5.1 The Organiser Is the Data Controller
The Organiser is the Data Controller for their own attendee list and warrants they have a lawful basis for collecting and sharing attendee data with Evntful. The Organiser must comply with UK GDPR and notify Evntful within 24 hours of any data breach affecting attendee data. If an attendee complains to the ICO as a result of the Organiser's failure to include the required consent blurb or to meet their GDPR obligations, liability sits entirely with the Organiser.
6. Attendees CSV Requirements
6.1 What to Send and When
Send the attendee CSV to kriti@evntful.co.uk at two points: a few days before the event, and on the day of the event as an updated
confirmed list.
— First name
— Last name
— Email address
— LinkedIn profile URL which is strongly recommended, significantly improves matching
7. Payments
7.1 Trial Period
During a free trial no fees are payable.
7.2 Paid Services
Upon conversion to a paid arrangement, commercial terms including pricing will be agreed in writing between both parties before any
fees become payable. No charges will apply without prior written agreement. All agreed fees are non-refundable unless Evntful fails to
deliver due to its own fault. All prices exclude VAT. Invoices are payable within 14 days of issue.
8. Intellectual Property and Confidentiality
8.1 Evntful IP
All Evntful matching technology, platform, and branding remains the intellectual property of Evntful Ltd. The Organiser must not
reverse engineer or replicate any part of the platform. Both parties agree to keep confidential all non-public information received from
the other party for 3 years.
9. Termination
9.1 Ending the Agreement
Either party may terminate on 30 days written notice. Evntful may terminate immediately for material breach, data protection failure, or
conduct that could damage Evntful's reputation. On termination the Organiser must immediately cease use of the platform.
10. Governing Law
10.1 England and Wales
This Agreement is governed by the laws of England and Wales. Both parties submit to the exclusive jurisdiction of the courts of England and Wales. Before initiating proceedings both parties agree to attempt good faith resolution within 30 days. Contact info@evntful.co.uk.
11. Acceptance
11.1 How to Accept
By replying to the Evntful welcome email with "I accept" the Organiser confirms they have read, understood, and agree to be bound by this Agreement in full. This email exchange constitutes a binding agreement under UK contract law.
